Scope of Work
Responsibilities:
The Director of Operations (DOO) will have overall responsibility for operations of Eagle View Community Health System (EVCHS) under the direction of the Executive Director.
This management position will apply and implement policies at EVCHS.
This position has responsibilities for the management of operations at all EVCHS clinics and will ensure the activities and operations at EVCHS are appropriately integrated into the strategic plan.
The DOO will always ensure the provision of quality care and services through the cost-effective management of EVCHS operations.
The DOO will work closely with the Executive Director, Medical staff lead, CFO, HR Manager, Dental Practice Administrator, staff and volunteers.
Assumes the duties and responsibilities of the Executive Director when delegated.
Serves on the Management and Executive Teams and contributes to setting the agenda and data-driven decision- making by the Team.
Must demonstrate a personal and professional commitment to the Clinic's mission and vision.
Assists the Executive Director, and CFO in the development and administration of policies, plans, programs, procedures, and reports that further the Clinic's Strategic Plan and program goals.
This person will assist in the development, update, and implementation of the Board of Directors' Strategic Program Plan.
Oversees and manages the day-to-day clinical operations to include medical, dental and integrated behavioral health programs.
Oversight of scheduling and patient flow.
Monitors productivity.
Coordinate and maintain the schedules of the medical, dental, and BH providers insuring appropriate coverage at each site.
In collaboration with the Medical and Dental Directors, the Medical Staff lead, Dental Practice Administrator, and Behavioral Health Lead assist with the implementation of new services as well as existing services.
Monitors operations using established business metrics to continuously improve the Clinic's quality, finance, operational, and provider coding within the daily operation.
This person serves on the Board of Directors Performance Improvement Committee.
Serves as Management Team member on a Pl/RM Task Force and assures continued progress of the task force towards established goals and objectives.
Monitors customer service satisfaction for the clinic, receives patient complaints and takes timely action to address identified issues.
Participates in personnel matters, including interviews, new hire decisions, appraisals, disciplinary actions, and discharges.
Assists staff in understanding the importance of their individual assignments and how each person contributes to the overall success of the organization.
Provides and/or assists in coordinating training, in-services, and staff meetings, as necessary.
Develops and maintains function-specific operating manuals.
Assures compliance with Federal, State and local standards and regulations as it relates to HIPAA and works with a multidisciplinary team to maintain compliance.
Responsible to maintain active membership in one ambulatory/community health professional organization for the purpose of annual managerial development and in keeping pace with the trends in ambulatory/community health.
Participates in outreach events.
Organize the annual health fair.
Creates and distributes positive branding for outreach events, social media and the website.
Website maintenance.
Act on behalf of the Executive Director in his/her absence and upon request.
Site Work Location:
Each employee has a primary work site(s) to which he/she is assigned.
EVCHS, however, has multiple sites.
Therefore, any employee may be asked to work at another site if the need arises.
Administrative employees and contracted service providers may work from their homes, as needed or agreed upon in their contract.
Qualifications:
Education:
Undergraduate degree from an accredited college or university, preferred but not required.
Work
Experience:
Supervisory experience a must, Operational experience at FQHC or medical office is highly desirable.
Skills:
Knowledge and experience in health care information management systems (EMR), EPIC experience a plus, Strong analytical, quantitative, problem solving, and organizational skills essential.
